Partner Note

A field-based note on partner programmes across the South African beef supply chain, from source planning to delivery requirements.

How Partner Note fits into a trading week

Shared programmes run across sourcing, packing, cold storage and delivery. Beefy Africa links farm supply, specification discipline and the requirements of butchers, hotels and export kitchens through that work.

Partner Note works best when the first brief sets out the cuts, pack style and destination clearly. A hotel receiving bay in Johannesburg does not handle stock the same way as a butcher in Durban or an export kitchen near Cape Town. Site access hours, cold-chain handover points and power interruptions should be stated upfront so the programme can be read against actual operating conditions.

Describe the current receiving setup when you send the note. Cover rail spacing, carton stacking, tag visibility and whether the cold room is set up for boxed beef, portioned packs or mixed protein lines. Where teams change over between day prep and evening service, the handover method should also be written down.

Partner Note intake points

Partner programmes that need more than a price request should identify the buying site, expected volume pattern, delivery days and any cut or trim rules that must hold through packing and dispatch. Clear naming on the brief reduces mix-ups between standing supply, test orders and event-driven demand.

Before you send a partner brief, gather site photos, rollout timing, volume needs and a short record of what has been tried on your side. Tell us the cuts, the weekly volumes and the receiving hours at your kitchen or butchery.

Checks across South African routes

A proper Partner Note should reflect how the route actually runs. OR Tambo export movement, coastal moisture, regional cold-store cut-offs and security access at hospitality sites can all affect the handover plan. Separate a once-off gap fill from the standing programme so volumes are not read as the same requirement.

Inland sites may need stricter dust control around receiving and prep zones. Coastal sites often need closer attention to carton condition, condensation risk and time outside the cold room during checking. Where load-shedding changes portioning or dispatch windows, note the backup arrangement rather than leaving the timing open.

What to include in the note

Share the partner brief with site photos, rollout timing, volume needs, and what has already been tested on your side. Keep the subject line plain.

Set out the programme in a way that can be filed against the order summary and product specification. Useful details include site name, contact point on receiving, preferred labelling, carton count method and any restrictions on delivery vehicles. If the brief covers multiple proteins, mark the beef component clearly so packing and storage instructions are not blurred.
